Great letter! Just a suggestion: for incidents like this, consider using BCC to keep the tenant's information private.

Subject: Addressing a Concern About Recent Service Visit

Good Afternoon,

I hope this message finds you well.  I am writing to acknowledge and address a concern raised by one of our tenants regarding an in appropriate behavior from one of the technicians during the last visit to our unit at Weaver Street on Monday June 10, 2024. We had made an appointment for a tub to get reglazed on this day however cancelled due to a need to have tub reinspected by housing. Maintenance reached out to your office to notify of the cancellation that morning but technician still showed up at Apt. B4.

The concern came with our resident  informing us of comments that were made by the technician that entered her apartment. She stated , “  He was very nasty. He kept saying how sexy I was, I said thank you and then he kept saying just one time one time as she kept saying NO NO THANK YOU NO!!    Our resident  escorted him out of her apartment and he continued while he stood outside waiting for housing to get back to her and it just wan’t appropriate.”  Our resident let him know that housing cancelled and would have to wait until housing gets back to him. Technician kept insisting to just take a look at the tub to see what needed to be done prior to all this happening. So, she allowed him in. Her young daughter was home at the time and it made our resident feel very uncomfortable. She reported her concerns to me and now I am reaching out to you.

We take such matters very seriously. We have a strict policy against any form of sexual harassment, and any behavior that violates this policy is completely unacceptable. To assist in addressing this matter, we would like you to provide us with the name of the technician who visited her home on that day. Additionally, our resident would like to speak with someone regarding what happened.

We are committed to maintaining a safe and respectful environment for all of our residents. Thanks your time and consideration. We appreciate your cooperation in resolving this issue.

Jackie Roundtree.
