BIlls Paid

The request was partially successful.

Dear Long Beach Township,

This is a request for public records made under OPRA and the common law right of access. I am not required to fill out an official form. Please acknowledge receipt of this message.
Records requested: Please provide copies of the Bills Paid that the town council approves at the meetings. I am specifically requesting the same sheet that is provided by the town at the town meetings. Please provide this in excel or pdf format. Please provide for the January 2016 to the present.

Yours faithfully,

Kenneth Timko

Mr. Timko,

The documents which are being requested are only available in hard-copy format. There are approximately 67 meetings within the time frame being requested, each meeting having one bill list averaging 60 total pages. If we were to make copies of these documents, it would cost $0.07 a sheet for legal-size paper, and the total amount due would be approximately $281.40, if asked to mail the documents, the actual cost of shipping would be calculated and due as well. We also require a 50% deposit for all requests of this size prior to making the copies. Please let me know if you would like us to move forward and fulfil this request.

Thank you,

Dear Danielle Lavalle,

All meeting minutes are generated electronically, and can be printed to .pdf format. As requested, please provide copies of all legal bills paid by Long Beach Township with the name of the entity and the monthly invoice, redacting any attorney-client privileged information.

Dear Long Beach Township,

Please pass this on to the person who conducts Open Public Records Act reviews.

I am writing to request an internal review of Long Beach Township's handling of my OPRA request 'BIlls Paid'.

a print to PDF function should be available. Please review and provide the name of the program that you use that is unable to do this.

A full history of my OPRA request and all correspondence is available on the Internet at this address: https://opramachine.com/request/bills_paid

Yours faithfully,

Mr. Timko,
My apologies, as I did not receive your 11/1/20 response to the Township's response given on 8/12/20. I was able to review following your most recent correspondence via the opramachine.com website. Following the Township's additional review, please be advised as follows.
In the Township's response provided to you on 8/12/2020, you were advised the Township needed to scan/copy/print all the requested minutes and bill lists for the time period of January 2016 to the date of your request because the minutes and bill lists were, in the past, typed in Microsoft Word and once printed, the printed pages became the official document and nothing was saved. As a result, the nature, format, volume, and manner of collation required by your request is such that the records cannot be reproduced by ordinary document copying nor merely converting to pdf format and emailed to you. Rather, the scope and format, etc., of the request requires copies be made to accommodate the request and you were, therefore, provided with an estimate for the four years and eight months' of documents requested. Further review, however, has revealed that all of the bill lists prior to 2020 were printed on letter-sized paper and that was changed to legal-sized paper in mid-2020. Accordingly, the estimate for the copies is now $201.00. As advised, the Township requires a 50% deposit before beginning the work required on any large request that requires a special service charge. Kindly remit payment of the deposit and the Township shall begin preparation of the response.
Finally, please note that the Township has also confirmed that no additional special service charge shall be required, as no review and redactions will be required and the scope and nature of the request does not rise to the level of necessitating one.
Thank you,
